Exhibitor booth details

All standard booths for all expos include:

• 10’x10′ pipe and drape booth, 6′ table, table skirt, 2 chairs, wastebasket, (Double booths are 10’x20′)

All small business booths for all expos include:

• 10’x10′ pipe and drape booth, 6′ table & 2 chairs, table skirt, wastebasket (Double booths are 10’x20′)
• Logo on our website events page
• Location not guaranteed to be in a “prime” traffic area.
• Possible mention in Facebook event

Booth Locations

• Booth locations are assigned on a first-come, first served basis, with priority given to early registrants and Standard Booths.
• Small Business Booths are placed adjacent to the Standard Booths, but are not guaranteed to be in a “prime” traffic areas.
• Booths are assigned only after registration is complete and payment has been received (paper checks cleared).

Booth Decor & More

• You may bring an extra table for your booth, as long as it fits completely within your space.
• You can hang anything on the booth drape. We suggest bringing hooks to hang signs or merchandise over the back drape piping.
• 4 name badges are permitted per both. Link to upload them will be in your follow up email after registration.

Electricity Details

Philadelphia and Connecticut Expo Exhibitors:

• Electricity and WIFI can be purchased directly from the venue. A link to purchase will be provided closer to the date of the expo.

New England Expo:

• If you want electricity for your booth(s), you must register and pay for it on the expo registration form below. The options are one drop or two drops. One drop is enough for a toaster oven or hot plate plus POS, phone charger, or laptop. If you do not select and pre-pay for electricity at the time of registration, we cannot guarantee it for the expo.
• If you require overnight electric for freezers or refrigerators, there’s an extra charge for that.
• You will be required to upload your appliance and wattage to our electricity form. (electric form link will be in the follow-up email you’ll receive after registration)

Temporary
Food
Permits

• Exhibitors sampling and/or selling food must determine if they need to apply for a temporary food permit from the local municipality where the expo is taking place. All of our expos have different requirements. Links and details will be emailed after registration.

LOAD-IN AND HOTEL

• Load-in details will be sent after registration.
• Hotel blocks have been reserved. Link will be in follow-up email after registration.

Both expo days are required for the Greater NYC expo. If you do not participate for both days, you will not be invited back to future expos.

*Booths are limited and booth locations will be assigned upon receipt of completed registration form, COI and payment. Priority given to early bookings. Note: Booths requiring electrical will be located on the perimeter of the room.
*Please ensure that your set-up (including tables) does not exceed your space.
*This is a sampling AND selling event.
*A COI (certificate of insurance) naming Gluten-Free New England as additional insured is required to participate.
*All signage and decoration is the responsibility of the vendor; no signage permitted on walls. Pop-up displays & banners are welcome, provided they fit within your space.
*Hotel block details will be sent in a follow-up email after registration.
*Our convention contractor will be managing booth set-up, shipping, and paid storage. You will receive an email from them 4-6 weeks before each show.

Health Department Requirements

If you are sampling, you are required to have a temporary permit from the expo town/city and follow all required protocols.

Cancellation Policy

All booth and electricity fees are non-refundable.

Media Release

By signing this vendor contract and participating in this(these) event(s), I hereby give my consent to all photographs, audio recordings, academic work and/or video recordings taken of me or my staff. I understand that any such photographs, audio recordings, academic work, and/or video recordings become the property of Gluten-Free New England, LLC DBA Wicked Gluten Free and may be used by Gluten-Free New England, LLC DBA Wicked Gluten Free for educational, instructional, or promotional purposes determined by Gluten-Free New England, LLC DBA Wicked Gluten Free in broadcast and media formats now existing or created in the future.

Agreement

- I agree to take part in the Wicked Gluten Free expo(s) will submit all applicable fees.
- I will leave my booth in the same condition as when I arrived. Any damage to the space will remedied at my expense.
- I will work from the space assigned to me, provide my own staff, and be ready for business by the time the expo opens on the day of the event(s).
- I take all risk of loss or damage to my merchandise and other property, no matter how it is caused. If I choose, I can obtain insurance for my merchandise and property. If my property is lost, stolen, or damaged, I will not hold the organizers responsible. Organizers mean Gluten-Free New England, LLC DBA Wicked Gluten Free, their agents, employees, and all 2024 expo venues. I am required to have liability insurance naming Gluten-Free New England, LLC DBA Wicked Gluten Free as additional insured.
- If my business and I register for a 2-day expo, I /we will participate on both days, or forfeit the opportunity to participate in future Wicked Gluten Free events.
- Any changes to this contract must be in writing and signed.
- All matters not covered by these regulations are subject to the decision of Gluten-Free New England, LLC DBA Wicked Gluten Free

Indemnification

I agree to indemnify, defend, and forever save and hold harmless Gluten-Free New England, LLC DBA Wicked Gluten Free, all of their contracted expo venues, and any employees or agents, affiliates, or related entities and their respective staff, members, partners, officers, directors, employees, representatives, agents, contractors, and volunteers from and against any and all physical injuries, damages, claims, losses, demands, costs, expenses (including attorney fees and costs), obligations, liens, liabilities, actions and causes of action threatened or actual, which any one of the indemnities may suffer or incur arising from participation in or preparation/set-up for any of the Wicked Gluten Free expos, my acts or the breach of any agreement, obligation, warranty or representation made herein, or for claims not closely related to our duties under this agreement, except to the extent such claims arise from Gluten-Free New England, LLC DBA Wicked Gluten Free's willful misconduct. The foregoing indemnification shall survive any termination or the expiration of the term of this agreement. My indemnification does not extend to damages, claims, or losses occasioned by the acts of subcontractors of either me or my agents.
